This wikiHow teaches you how to communicate with your target audience by sending mass emails. The most reliable way to send bulk messages is to use a mailing list service, many of which have free options that allow you to email up to 5000 subscribers. If you only send a one-time message to less than 500 addresses, you can usually use your regular email app to get the job done.

To step

Method 1 of 2: Using a mailing list service

  1. Research mailing list services that meet your needs. The easiest and most reliable way to send mass emails is to use a service that specializes in email marketing. These services are generally affordable, and many even offer innovative tools to help you communicate more effectively. Here are a few options:
    • MailChimp offers several plans, including a free tier that supports sending messages to up to 2000 users. If you want to reach more people, you can choose one of their paid plans.
    • Constant Contact does not limit the size of your mailing lists or the number of messages you can send, but there are no free options.
    • TinyLetter is a free service that allows you to send simple email newsletters to 5000 subscribers at no cost. TinyLetter doesn't have any special statistics functions, but it's great if you just want to contact a lot of people at once.
    • There are many mailing list services available which you will find if you do a quick Google search. Research the options thoroughly before choosing a service.
  2. Sign up for a mailing list service. Once you've found the service that works best for you, click on that service's sign up link to create an account. If you've opted for a paid service, follow the onscreen instructions to enter your payment method and activate your membership.
  3. Make your list. The steps to do this vary by service, but usually you will need to create a "campaign" and then import a list of your current subscribers.
    • Mailing list services all provide different ways to import your contact list. Some will allow you to connect to your Gmail account so you can move your contacts to the service, and most will allow you to import .CSV files or Excel spreadsheets with email addresses.
    • To learn more about building a subscriber list, there are articles on wikiHow for collecting email addresses and creating an opt-in list.
  4. Create your first bulk email. Use the service's built-in tools to customize your message. Some services offer a variety of templates you can use to spice up the message, and most allow you to use HTML and import your own images (with some restrictions).
  5. Send your message. Depending on the service you use, you can keep various statistics about the messages sent, including whether one of the messages has been rejected.

Method 2 of 2: Using a standard email program

  1. Collect a list of email addresses. If you only send a one-time message to many email addresses, you can add the addresses to the "BCC" field of the message header. This method works best for smaller lists of less than 500 recipients. The email list can be in the form of a spreadsheet, document or text file.
    • Most email providers limit the number of recipients you can send a message to, and many also limit the number of messages you can send in one day. Gmail, for example, will not allow you to send a message to more than 500 people at the same time, nor will they allow you to send more than 500 messages per day. Check with your email provider which limits there are before sending bulk email.
    • To learn more about building a subscriber list, there are articles on wikiHow about collecting email addresses and creating a responsive opt-in list.
  2. Create a new email message. You can do this in an email program on your computer or your favorite webmail service (eg Gmail, Outlook.com). This usually involves clicking a button with the text draw up or New message.
  3. Enter your own email address in the "To" field. This will be the only email address that will be visible to the recipients of the message.
  4. Click on it BCC-field. If you don't see this field, you may be on a link BCC click next to the To field.
    • Make sure you click on it BCC field and not the CC field.
  5. Enter the email addresses in the BCC field. Separate each address with a comma if you are typing them manually. If you have a list of addresses, you can copy them from the document and paste the entire list into this field.
  6. Type the subject and body of the message. Depending on your email client, you can use HTML and other formatting programs to personalize the message.
  7. Press the button To send. The location of the button varies per client, but usually you will see an envelope or a paper airplane icon on it. This sends the message to the recipients.

Tips

  • Using an email marketing service can help prevent your bulk messages from being marked as spam.
  • If possible, avoid attaching files to mass messages.
  • Make sure you have personal information about every member of the list so as not to be accused of sending spam.
  • Read articles about sending mass emails in Gmail with Gmass, if you use Gmail and want to try a (paid) add-on that makes it easy to send bulk messages from the website.
