If you've ever printed out a large Excel spreadsheet, chances are you've come across the fact that the spreadsheet didn't look the way it should on paper. Automatic page breaks do not respect user preferences. To determine how rows and columns will appear on paper, you must manually insert page breaks. Such breaks are easy to see in page layout view.

Steps

Part 1 of 2: How to Prepare a Table

  1. 1 Open the table. Click File> Open, open the folder with the file you want, and then double-click it to open the spreadsheet in Excel.
  2. 2 Find the Page Setup toolset. Click the Page Layout tab at the top of the screen and locate the Page Setup toolset. To open the options, click on the small arrow at the bottom right of the Page Options group.
  3. 3 Adjust the scale. On the Page tab of the Page Setup window, find the Scale section. Select 100% from the Set menu. Click "OK" to save your changes.
  4. 4 Switch to "Page Layout" mode. Here you can see how the automatic page breaks are arranged (they are indicated by the blue dashed lines). If you know where the automatic breaks are, you can correctly insert (manually) new page breaks. Click the View tab and select Page Layout in the Book View Modes group.

Part 2 of 2: How to Insert and Manage Breaks

  1. 1 Click on the line below the desired horizontal page break. For example, if you want to insert a horizontal page break between lines 4 and 5, select line 5.
  2. 2 Insert a horizontal page break. Return to the Page Layout tab and click the arrow below the Breaks icon. From the menu, select Insert Page Break. A black dashed line appears to indicate the manually inserted break.
  3. 3 Select the column to the right of the desired vertical page break. For example, if you want to insert a vertical break between columns C and D, select column D.
  4. 4 Insert a vertical page break. On the Page Layout tab, click the arrow below the Breaks icon and select Insert Page Break from the menu. A black dashed line appears to indicate the manually inserted break.
  5. 5 Move the page break. Do this if you decide the gap should be in a different location. Hover the mouse over the break line and wait for the arrow to appear, then drag the arrow to the desired position.
  6. 6 Remove the page break. If you decide you no longer need a page break, remove it.
    • To remove a vertical page break, select the column to the right of the vertical page break. Click the arrow below the Breaks icon and select Remove Page Break.
    • To remove a horizontal break, select the line below the horizontal page break, click the arrow below the Breaks icon, and select Remove Page Break.
  7. 7 Exit Page Layout mode. If you do not want breaks to appear in the table, go to the View tab and select Normal mode. Switch between these modes as needed.

Tips

  • To get rid of all manually added page breaks, open the Page Layout tab, click the arrow below the Breaks icon, and select Reset All Breaks from the menu.
  • Automatic breaks cannot be moved or deleted, but they can be replaced with manually inserted breaks.
