The Microsoft Excel spreadsheet format can be a useful tool when using a payroll application for employees. To help business owners with calculating payroll, Microsoft has developed a template known as the Payroll Calculator for Excel, which you can download and use to your advantage if you have Microsoft Excel installed on your computer. The template contains formulas and functions already built into the workbook in which you will need to enter your employees' payroll details. The template automatically calculates pay stubs and net pay for employees based on the criteria you enter.

Steps

  1. 1 Download a payroll Excel template.
    • Click on the Microsoft Office link provided in the Sources and Links section of this article for a link to download a payroll template for Excel.
    • On the Microsoft Office website, scroll down the page and click on the Download Payroll Template link in the Download Template section.
    • Click the green download rectangle on the right, then click the Accept button after reviewing the Microsoft Service Agreement.
    • Click on "Save" when a dialog box appears prompting you to download the file.
    • Navigate to the location on your computer where you want to save the payroll calculation template and click Save. The template will be saved on your computer in a compressed form.
  2. 2 Unpack the payroll calculation template.
    • Go to the folder on your computer where you saved the template and open the file.
    • Follow the prompts to unpack the template. The file will automatically open in Excel.
    • Depending on the capabilities and version of your computer's operating system, you will be prompted to click Unpack or use a utility like Winzip to unpack the template.
  3. 3 Save a copy of the template for use as your work payroll.
    • Hover your cursor over "File" in the Excel toolbar, then select "Save As" to save a copy of the template as a payroll workbook.
    • Browse to the folder on your computer where you want to place this file for future use and enter a name for the book.
    • Click on "Save" to complete the payroll book creation process.
  4. 4 Prepare a payroll for your business. You can open your workbook in Excel.
    • Complete the "Employee Information" sheet. This sheet should open by default. You will be prompted to enter the names of the employees, their pay rate, and tax information such as deductions and deductions.
    • Complete the "Payroll Calculator" sheet. To go to this sheet, click on the "Payroll Calculator" tab at the bottom of the Excel window. You will be prompted to enter information from the timesheet; such as how much your employees have worked, the amount of overtime, the number of vacation hours and sick leave.
  5. 5 Access your employees' salaries or receipts.
    • Click on the Individual Pay Stubs tab, which is located at the bottom just behind the Payroll Calculator tab. This worksheet contains formulas and functions that extract the data you entered and display it in payroll form for each employee.
