Have you ever tried to send a letter to several people at the same time, but because each letter was slightly different, it took you hours to do it? Well, that is no longer necessary. This short article explains how to make better use of your precious time with Mailing Lists.

  1. Click Mail Merge in Mailings and scroll down to the Step-by-Step Mail Merge Wizard. Follow the steps in the pane to go through the mail merge procedure.
  2. Choose a document type. This document contains the information that will remain the same in every letter, such as the return address or a company logo. If you have already created this document, click on the option Use existing document. Otherwise, click Use the current document or Start with a Template, then browse to a template or document you want to use.
  3. Link to a data source. The Data you want to insert into documents is stored in a data source, and can be found under Outlook contacts or in another file. If you haven't created this information yet, select Type a new list.
  4. Indicate which items you want to use by checking or unchecking them.

Tips

  • It is easy to make mistakes during this procedure if you are doing this for the first time. Don't worry if it doesn't look perfect right away; double check each step and try again.
  • Depending on the version, Mail Merge will be located elsewhere in the menu system. For example, on the Tools menu, under Letters and Mailings, then click Mail Merge (or Mail Merge Wizard, if you're using Word 2002).
