If you are one of those ignorant people who have never heard of fax before, or once knew but forgot, then it's time to refresh your memory and learn more about new technologies. Please note that there are a huge number of varieties of fax machines, so you should first study the instruction manual for this device that comes with the kit. Most fax machines require you to send a cover letter first, then dial the number and send the fax directly.

Steps

Method 1 of 2: Before sending a fax

  1. 1 Create a cover letter. Fax machines are often used by all office workers or a specific group of people. Since anyone in the vicinity can read the fax, sending a cover letter might be a good idea. It will ensure that the right person gets your fax.
    • The cover letter includes the name of the recipient, the content of the fax and the number of pages. It should also contain information about the sender, such as name and fax number, so that the recipient can send a response if necessary.
  2. 2 Dial the fax number. Next, you need to dial the fax number, just like you usually dial a phone number. Most new fax machines do not need to enter a code to send a document within a city, but it is still necessary for long distance sending. Some fax machines require you to enter an area code regardless of your location. Find out yourself or ask someone about your machine.
    • The country code (for example, Russia corresponds to the number “7” at the beginning of telephone and fax numbers) is also sometimes applicable for local calls, but only in combination with the area code. The use of the country code is almost always required when using international calls.
    • Also, for long distance communications within a country, you will often need to dial “8”. Read the instructions or ask someone about the features of your particular fax machine.
    • Make sure you are using the fax number and not the phone number of the person you want to contact. Often these numbers are printed side by side on a business card and it is very easy to confuse them by looking at the wrong line.
  3. 3 Determine the paper feeding method. You need to make sure that you have inserted the sheet with the materials to be sent on the correct side of the fax. It is only possible to scan the contents of a document when the paper is positioned in a certain way, and you will send a blank fax if you insert the sheet upside down. Make sure the paper is in the correct position before sending a fax.
    • The paper feed method differs from fax machine to fax machine. Fortunately, all faxes have marks to indicate the correct paper position. Look for the folded sheet of paper symbol near the paper feed area. You will see that one of the sides of this sheet is clean and that there are lines on the other.
      • If the lines are on the folded side, then insert the paper with the blank side facing you.
      • If the folded corner is empty, then the sheet should be inserted into the fax machine with the front facing you.
  4. 4 Fax in the correct format. Fax machines are designed to work with standard sized sheets. If you try to send a non-standard size document, you will not be able to do so. Moreover, it may cause paper jams or even damage the fax machine. If, nevertheless, there is a need to send a document of a non-standard size, you should make a copy of a suitable size using a photocopier and send it already, not the original.
    • The most common paper sizes for faxes and printers are A4 and letterhead.

Method 2 of 2: Sending a fax

  1. 1 Use your fax machine to send the document. After completing all the above steps, you can start sending the fax. Now insert the paper with the correct side, dial the number you need, and then click the "send" button. This is usually a large and visible button. Congratulations! You have sent a fax!
    • You will notice how, after pressing the send button, the device beeps several times and buzzes a little. This is fine. This is how faxes communicate with each other. After a couple of minutes after successfully sending the fax, you will hear a clear signal to confirm this. If, however, there are problems during sending and the fax did not go through, you will hear a characteristic unpleasant sound. You will now have to check your fax machine to determine the problem you are experiencing.
  2. 2 Use the internet to send a fax. Fax to fax materials can also be sent using the Internet. There are a number of companies providing assistance of this kind, the services of which, in most cases, cost money. This can be a wise investment, but only if you rarely send faxes and therefore do not want to buy a fax machine or use courier services for this purpose.
    • PamFax is an excellent Skype fax service. However, in this case, you will have to pay a little.
    • HelloFax is a service that integrates very well with Google Drive and makes it easy to fax Google Docs documents. You will be given the option of sending a number of faxes free of charge as a test service, but charges will apply later.
  3. 3 Use email to send a fax. Depending on the recipient's fax number, you may be able to send the document free of charge. But here it is worth considering that this feature applies to a limited number of fax numbers and allows you to send information in limited volumes.
    • You can check the availability of this option for a specific fax number on the Internet.
    • Use this template to create the address to which you will send email: “[email protected]
    • Remove the quotes and change the fax number (including country and region codes) and first and last name ("first" and "last") to the person you are sending the fax to.
    • Note that only text can be transmitted this way. You cannot attach a PDF file or any other materials to the letter.

Tips

  • Always enter the complete number, including the country code and area code.
  • Most fax machines come with an instruction manual. Study it thoroughly before taking action.

Warnings

  • When sending confidential information, you should take into account the fact that ANYONE will be able to read the fax printed on the receiving side. Before sending, double check the number to make sure the recipient is near the fax.
